Refund terms may vary depending on the course format, course duration, access type, and payment plan shared at the time of enrolment.

  1. General Refund Rule

Course fees once paid are generally non-refundable after enrolment confirmation, course access, class scheduling, or learning material delivery.

This is because Fluent Minds may reserve trainer time, share learning resources, provide access to class links, assign seats in a batch, or begin course preparation after confirmation.

However, we review genuine refund requests on a case-by-case basis, depending on the situation and the stage of course delivery.

  1. Refund Before Course Commencement

A learner may request a refund before the course begins.

Refund eligibility before course commencement may depend on:

  • Whether the batch has already been confirmed
  • Whether trainer time has already been reserved
  • Whether course material has already been shared
  • Whether access links or login details have already been provided
  • Whether administrative or payment processing costs have been incurred

If the refund request is approved before the course begins, Fluent Minds may deduct applicable administrative charges, payment gateway charges, or any cost already incurred for the learner’s enrolment.

 

  1. Refund After Course Access or Material Delivery

No refund may be provided once any of the following has happened:

  • Course material has been shared
  • Class links have been provided
  • LMS, Google Drive, Notion, or other learning access has been given
  • A live session has been attended
  • A demo or paid consultation has been completed
  • A batch seat has been confirmed and blocked
  • Recorded lessons or downloadable resources have been accessed

Digital learning products and downloadable resources are generally non-refundable once access has been provided.

 

  1. Refund After Course Commencement

Once the course has started, fees are generally non-refundable.

No refund may be provided in cases such as:

  • The learner misses classes
  • The learner discontinues due to personal reasons
  • The learner does not complete assignments
  • The learner does not attend sessions regularly
  • The learner is unable to follow the course schedule
  • The learner changes their mind after joining
  • The learner faces personal device, internet, or power issues
  • The learner does not achieve expected results due to lack of practice or participation

Fluent Minds encourages learners to clarify course details, schedule, format, and expectations before making payment.

 

  1. One-to-One Training Refunds

For one-to-one training programs, trainer time is reserved specifically for the learner.

Once a one-to-one session is scheduled, the fee for that session may not be refundable unless Fluent Minds cancels the session and cannot offer a suitable alternative.

If a learner cannot attend a scheduled one-to-one session, they should inform Fluent Minds in advance.

Rescheduling may be allowed at Fluent Minds’ discretion, subject to trainer availability and prior notice.

  1. Batch Transfer Instead of Refund

In some cases, Fluent Minds may offer a batch transfer instead of a refund.

A batch transfer may be considered if:

  • The learner has a genuine scheduling issue
  • The learner informs Fluent Minds before the course begins
  • Seats are available in another batch
  • The request is made within a reasonable time
  • The course format allows transfer

Batch transfer is not guaranteed and will depend on availability, course structure, and internal approval.

 

  1. Session Rescheduling

If Fluent Minds reschedules a session due to trainer availability, technical issues, holidays, emergency situations, or operational reasons, learners will be informed through WhatsApp, email, phone, or other suitable communication channels.

In such cases, Fluent Minds may offer:

  • A rescheduled live session
  • An alternate trainer-led session
  • Access to recorded material, where applicable
  • Extended course access
  • Batch adjustment, where possible

A rescheduled session does not automatically qualify for a refund.

 

  1. Course Cancellation by Fluent Minds

If Fluent Minds cancels a paid course before commencement and cannot provide an alternative batch, session, or learning arrangement, the learner may be eligible for a refund.

In such cases, Fluent Minds may refund the course fee paid by the learner after deducting any applicable payment gateway charges, bank charges, or administrative charges, if applicable.

 

  1. Partial Refunds

Partial refunds may be considered only in exceptional cases and at the sole discretion of Fluent Minds.

Partial refund decisions may depend on:

  • Number of sessions already completed
  • Course material already shared
  • Trainer time already used
  • Administrative work completed
  • Payment processing charges
  • Nature of the learner’s request
  • Any written agreement made at the time of enrolment

Fluent Minds is not obligated to provide partial refunds unless the same has been clearly agreed in writing.

Once we receive a refund request, Fluent Minds will review the case and may ask for additional details.

If the refund is approved, the amount may be processed within 7 to 14 working days, depending on the payment method, bank timelines, and payment gateway processing time.

The refund will usually be made to the original payment method used by the learner, unless otherwise agreed.

  1. Payment Gateway and Bank Charges

Any payment gateway fee, transaction charge, bank charge, currency conversion charge, or platform fee may be deducted from the refund amount, where applicable.

Fluent Minds is not responsible for delays caused by banks, payment gateways, UPI systems, or third-party payment providers.

  1. Duplicate Payment or Failed Transaction

If a learner makes a duplicate payment by mistake, they should contact Fluent Minds with payment proof.

After verification, Fluent Minds may refund the duplicate amount or adjust it against another course, based on the learner’s preference and internal approval.

If a payment fails but the amount is debited, the learner should first check with their bank or payment provider. Such cases are usually handled by the payment gateway or bank as per their own timelines.

 

  1. No Refund for Misuse or Violation

Fluent Minds may deny a refund if the learner:

  • Shares course material without permission
  • Shares class links or login access with others
  • Records sessions without approval
  • Misuses learning resources
  • Behaves disrespectfully with trainers or learners
  • Violates course rules
  • Provides false information during registration
  • Uses the course for unlawful or unethical purposes

In such cases, Fluent Minds may also suspend or cancel course access.

 

  1. Learning Outcomes and Refunds

Fluent Minds works to provide practical, structured, and useful training. However, learning results depend on the learner’s consistency, attendance, practice, participation, assignment completion, and personal effort.

Refunds will not be issued only because a learner does not achieve a desired result, such as:

  • Immediate fluency improvement
  • Job placement
  • Interview selection
  • Income growth
  • Freelance project success
  • Business growth
  • Specific AI output quality
  • Specific writing performance

We encourage learners to actively participate, practise regularly, and seek trainer feedback during the course.
